Frontdesk Assistant

In a dynamic multicultural environment, Paris College of Art is looking for its future full-time Campus Coordinator (bilingual French/English).

Reporting to the Human Resources Administrator, your main duties are:

Frontdesk duties:

  • Open/close school every day
  • Welcome and guide visitors and students; manage community identity/access cards; be the first point of contact for Visitors, Students and Faculty’s requests,
  • Manage incoming and outgoing mail and deliveries,
  • Receive and dispatch incoming calls within the school
  • Ensure that school policies are being respected,
  • Facilitate communication within the school community,
  • Keep the school’s administration aware about life within the school,
  • Take emergency measures in case of accident or sickness of a student or staff/faculty member or a fire alarm,
  • Liaise with Campus Manager for building equipment and maintenance,
  • Obtain quotes and request external interventions when necessary,
  • Ensure that the security registry is up to date,
  • Ensure that all equipment throughout the school is functioning correctly through regular campus visits,

Administrative Duties :

  • Deal with applications from prospective students and prepare a file folder for each applicant,
  • Welcome and give information to prospective students and their families and provide them with catalogues and informational materials,
  • Send official documents by express mail
  • Assist the departments in the administrative follow-up of their ongoing projects

Profile

To succeed in this position, you must:

  • Be able to interact with people from a very wide range of backgrounds and from different cultures and languages and possess excellent communication skills (both written and oral) in English and French,
  • Be able to work autonomously and prioritize work activities,
  • Deliver a high quality of service,
  • Be proactive and ready to deal with unexpected situations,
  • Be polite, discreet and diplomatic,
  • Have demonstrable skills in the Microsoft Office suite.
  • Familiarity with the art world would be a plus.

Admissions Counselor

Duties include but are not limited to:

Admissions tasks

  • Develop and carry out recruitment strategy to increase student enrollment including Master degrees
  • Plan recruitment travel; schedule individual high school visits and participate in university fairs abroad
  • Seek out, develop and maintain relationships with high school counselors and agents in assigned territories to expand international recruitment network
  • Counsel candidates from inquiry to deposit stage to ensure maximum enrollment
  • Review candidate files and participate in admissions decision meetings
  • Answer telephone and email inquiries for information about the school and admissions procedures
  • Enter and maintain candidate data in Jenzabar
  • Meet with prospective students: conduct school tours, lead information sessions and review portfolios
  • Assist in the organization and implementation of campus events such as bi-annual Orientations and Open Houses
  • Create Infomaker reports of Admissions data and develop use of Jenzabar for the Admissions Office

Communication tasks

  • Create detailed year-long Admissions communication calendar
  • Coordinate activities of email, website, portal, database and social media
  • Establish database of Admissions communication content for reference
  • Write, edit and publish biweekly Loop newsletter destined to the internal and external Paris College of Art community
  • Solicit student input and manage intern participation in the publication
  • Write and edit news articles for the website to link to the newsletter
  • Manage content and frequency of paper and online communications (letters, emails, brochures) in recruitment effort, including:
  • Regular email communications to promote campus Admissions events and guide students through the application process
  • Design and digital layout of paper Admissions communications, such as Orientation packets and Open House handouts
  • Contribute to content of outbound communications to inquiries, candidates, accepted and incoming students, including co-composition of Student Survival Guide
  • Regular sending of acceptance letters and emails
  • Updating content of the Admissions section of the website
  • Creating new and updating existing information for the Admissions section of the portal
  • Contribute to school-wide and external communications as needed, such as posters, emails, etc.
  • Participate in Student Retention Committee
  • Execute social media initiatives (Twitter and Pinterest) with regular posts and responses to website activity

Requested qualifications:

  • Master degree prefered; education and/or practical experience in art & design.
  • An interest in working on a team to promote Paris College of Art.
  • Excellent communication skills in English; proficiency in French preferred but not required.
  • Knowledge of the American educational system.
  • Solid computer skills including experience with Word and Excel and database systems.
  • Excellent organizational skills and ability to multi-task.

This position reports to the Director of Admissions.
